Requirements for Long-Term Preservation of Digital Information

This presentation addresses the concerns that most organizations face today, which is the ability to retain and preserve digital information over time so that they meet records retention requirements for the length of their required usage. The challenges that confront the long-term preservation of digital information include technological obsolescence, lack of backward compatible software, incompatible media formats, security breaches, and the lack of preservable digital media types. Potential solutions that will be discussed include the formation of an electronic records preservation strategy that incorporates the development of a preservation policy, risk assessment, metadata, storage considerations, security, backups, appraisal and disposition.

  • Electronic records need to be properly preserved, so they can be accessed and retrieved at a later date
  • records should only be retained for as long as required, and then destroyed
  • Input from various stakeholders, (RIM, IT, records creator, final consumer) is required for preservation efforts to be successful
  • Protect records from unauthorized alteration and disposition
